Integration planning

A short brief can prevent a complicated mismatch.

You do not need to know the API terminology. Start by explaining what the business does with the information.

Which record should move?

Name a customer, order, invoice, stock update or other record. List the fields the receiving team actually needs and who may change them.

Which system has the final say?

If a customer address changes in both applications, which value should win? If neither can be treated as authoritative, the scope needs a review step.

How quickly does it need to arrive?

Explain the consequence of a five-minute or overnight delay. This helps choose the transfer method and the checks that matter.

What should staff see when it fails?

An error needs enough context to find the record without exposing private information. Decide who reviews failures and how they can safely resume the work.

Can an existing connection be kept?

Possibly. Review its current rules and the specific failure before replacing it. A field mapping or exception-handling repair may be enough.

What belongs in the first inquiry?

The application names, the manual steps and one invented example. Leave credentials, account exports and customer records out of the public form.

Compare proposals on the same task.

Ask each proposal to include the destination record, failure handling, vendor costs, operating owner and release checks. Send the connection you have in mind.
